Role Overview

The Office Assistant is the first point of contact for visitors, guests, and applicants. The role involves offering clear guidance, answering basic inquiries, and ensuring a professional and welcoming atmosphere at the reception area. In addition to front-desk duties, the Office Assistant provides essential administrative support to ensure efficient workflow throughout the office. The position requires someone who is proactive, well-presented, and capable of handling multiple responsibilities simultaneously.


Key Responsibilities

  • Manage the main reception desk by responding to calls, greeting visitors, and directing individuals to the correct department.

  • Ensure visitors and applicants are comfortable while waiting and provide refreshments when required.

  • Deliver documents, mail, and internal messages efficiently across the office.

  • Maintain the cleanliness and organization of the reception and common areas.

  • Assist HR and other departments with photocopying, filing, and document organization to streamline internal processes.

  • Sort, distribute, and handle incoming mail and courier packages.

  • Prepare outgoing courier shipments and operate fax machines when needed.

  • Support general office operations and perform additional tasks as assigned by supervisors or managers.


Required Qualifications

  • A high school certificate or diploma in any stream.

  • Professional appearance and a positive, welcoming attitude.

  • Physically fit and dynamic, with the ability to move frequently throughout the office.

  • Basic computer and office equipment operation skills.

  • English language proficiency is required; Arabic knowledge is an added advantage.

  • Recommended age: under 30 years.


Experience Needed

  • 1–2 years of experience in an office support or administrative role is preferred.

  • Ability to categorize and manage documents effectively.

  • Strong understanding of task prioritization and workflow organization.

  • Capable of working independently with office machinery.

  • A cooperative team player with good time management and organizational skills.

  • Ability to stay updated on company information, including department structures and office locations.
